Congratulations on conquering your mandatory training!  Brace yourself for an exhilarating journey ahead, as we dive into the fascinating realm of booking magic! Get ready to unravel the enigma behind those mysterious rates, turning each booking into a thrilling adventure. 


Hold on tight, because we're about to spill the beans on how to unlock these rates and so much more! 


Understanding the secrets of different rates and the art of booking them is like discovering the hidden treasure map to unbelievable savings. And guess what? This treasure hunt isn't just for you—it's a ticket to becoming a booking maestro for others too if you wish.


Picture this: you jet-setting like a pro, zipping through the skies with a wallet full of saved cash and a heart bursting with excitement!  But that's not all—by mastering the art of booking, you're not just a traveller; you're a travel wizard who can earn rewards by curating unforgettable journeys for others! 


Ready to embark on this epic adventure? First rule of thumb: when chasing your own travel dreams, kick off the quest by exploring the enchanting realm of agent rates.  These rates hold the key to unlocking marvellous possibilities and uncovering the sweetest deals.  So fasten your seatbelt and get set to soar, because you're now armed with the knowledge to make every booking escapade a wild success!

STEP 5 - rates we can access as independent travel agents

The types of rates we can book are explained below - Understanding what types of rates we have access to will provide you with the knowledge you need to get the most out of your travel licence.


There are 3 types of rates - 

Commissionable Rate

Commissionable Rate

This is the type of rate that you would of booked prior to joining the travel programme. This is a full price rate with built in commission. 

By becoming an Independent travel agent you will now EARN THE COMMISSION. You can book this rate for yourself, friends,family and clients. 

Net Rate

Commissionable Rate

This rate does not include commission. 

You can book this rate for anyone but you will not earn anything from the booking as all commission has been removed from the final price.

These rates are heavily discounted rates that are exclusive to Independent Travel Agents for their OWN PERSONAL TRAVEL ONLY.

However, some chains allow multiple rooms if the agent is travelling within the group.

STEP 7 - agent rates HOW TO ACCESS THEM / MEGADRIVE

Your Passport to Savings: Discover Exclusive Agent Rates for Unforgettable Travel Experiences

If you're booking travel for yourself, the optimal rates to consider, if available, are Agent Rates. These rates are designed for your personal travel needs and cover accommodations only; they do not encompass a packaged travel rate.  Now that you are one of the team you will have access to the 


It's important to note that these rates are not affiliated with Inteletravel. They are extended to us because we are part of the travel industry and hold an IATA travel license. You might hear them referred to as Industry Rates or Agent Rates.


Whether a hotel provides Agent Rates is at their discretion, and they decide if there are any additional training prerequisites you need to fulfill in order to access these rates. The hotel is responsible for the rate itself, as well as the stay conditions.


It's worth mentioning that individuals in the travel industry can access these rates. If you make a booking using these rates, there's no need to register it anywhere; you can simply make the reservation and show up. These bookings do not involve any associated commission. The only time you must register a booking with Inteletravel is when there's commission tied to the booking. This registration is necessary so that Inteletravel is aware of the completed booking, can collect the corresponding commission, and subsequently disburse your percentage at a later date.


We recommend that you consult the Agent Rate Spreadsheet located in the mega drive. Familiarize yourself with the included hotel chains and sign up for those that require it. There are concise instructional videos available in the Mega Drive on how to access and register for these chains. 


Only a few chains mandate training (such as Jumeriah, Universal, Melia Pro, and Disney); most involve a quick sign-up or the use of a specific code. Some hotel chains may take some time to respond, so it's advisable to register and prepare in advance. Storing your passwords securely is advisable, given the increasing number of accounts you'll need to manage.


It's important to note that we're not limited to the listed chains; we can also directly contact hotels/accommodations via email to inquire about Industry Rates. Email templates for such requests are available in the Mega Drive, along with instructions on how to proceed.


Most agent rates are pay on arrival and only a card is required to guarantee the booking. We are not just limited to this list, we can also go direct by emailing the hotel/accommodation and requesting an Industry Rate you will find email templates within the Mega Drive HERE and details on how to do this below.

Take a look at the illustration below on how to use the  Agent Rate Spreadsheet. The Agent Rate Spreadsheet is a live document and is not an exhaustive list, it is regularly updated to incorporate new hotel chains that will offer Agent Rates so the list is ever growing. 


The spreadsheet holds details of how to register if required / any promo codes required and the number of rooms you can book.

Step 8 - requesting a copy of your Agency status

AGENT STATUS LETTER

Travel Industry rates are for our own personal travel, as mentioned it’s a perk of being in the travel industry. These are heavily discounted rates and only available for our own travel.


Once you have completed your mandatory training request a copy of your Agency status from the Inteletravel live chat. You only ever need to request this once. On check-in a hotel may ask for proof that you are an agent. Show them this letter. No business cards or anything else is required. 


It is not common practise for hotels to ask for this but just keep the email handy in your inbox incase It is requested.


Step 9 - contacting a hotel for a rate/upgrade

Contact a hotel directly for a Travel Industry Rate

As an Independent Travel Agent with access to an IATA number -10548020 this allows us to contact hotels directly for rates. We can ask for Agent, Net and Commissionable rate dependent on who the Rate is for. 


Hotels don't always offer agent / net rates however there is no harm in asking. They may come back with a commissionable or net rate if no agent/industry rate is available. If they are offering a commissionable rate – ask them to confirm the % / amount of commission by email and also confirm how they would like payment for this stay and when payment is due. 


Below is an example of an email and it contains all the information that would be required when contacting a Hotel requesting a Travel Industry agent rate, any email templates are within the Mega Drive for easy access for you to use. 


Dear Reservations, 


I hope this email finds you well. I would like to firstly introduce myself. My name is xxxxx. I am an Independent Travel Agent with Inteletravel. Inteletravel is a network of 70,000 Travel Agents with 12,500 of those based here in the UK, 


My company IATA number is 10548020 and ABTA number is P7384 I'm a big fan of the xxxx brand. I would be extremely grateful if you could provide me if available with a travel industry rate/Net rate for my own personal travel for the 18-28 March 2022 for 2 adults - All-inclusive at the ( insert Hotel name ) for a Double room. 


As Travel Agent I review the hotels I stay at and I would be delighted to provide a positive TripAdvisor review of my stay.

Going Direct to a hotel for a commissionable rate

  • Please note that Inteletravel independent agents CANNOT approve a bank transfer to ANY supplier if booking directly. 
  • Unfortunately, a bank transfer is open to all sorts of misuse and cannot be endorsed. 
  • Therefore, if a supplier cannot take a card payment (which can be fully backed and tracked by a Credit card authorisation form) , then YOU as an agent cannot process the booking and will not be able to earn the commission. 
  • This is a due diligence practice and although frustrating it will protect both yourself and the customer.


Contacting a Hotel requesting a commissionable rate: 


Good Morning, 


My name is X and I am an Independent Travel Agent with InteleTravel. My IATA number is 10548020, ABTA P7384. 


Please could you provide me with the best commissionable rate for 2 adults arriving on 26th June 2021 for 3 nights for a double room with breakfast, and what percent commission is payable. 


I look forward to hearing from you.

When contacting a hotel directly whether that be by phone or email You must always follow the below points - 


1. Identify yourself on the phone or register on supplier websites as an InteleTravel Travel Agent.


2. You must give the supplier our IATA number: 10548020


3. At the end of your reservation always confirm the supplier has correctly recorded this number on the booking confirmation, also confirm the rate / Industry/Net/Commissionable rate and if required the amount of commission they will pay InteleTravel after the stay has taken place. 


4. You can  ask the hotel how payments can be made - " How would you except payment, is it possible to pay a deposit or pay on arrival, what options are available please "


For payment simply obtain a completed credit card authorisation (if the booking is for a client Net/Commissionable booking), these can be found on your homepage within Inteletravel on the lower left side menu, near to your commissions report. 


5. These types of direct bookings are made OFF of InteleTravels website,  the booking is a Commissionable booking you must as soon as the booking is confirmed register it in the back office to ensure you get paid the commission. 


6, For Bookings made outside of our preferred partners that are commissionable rates also require you to complete a Commission Invoice after the date of travel, these can be found within the Help section>Helpdesk>Commissions>Request Commission Invoice - fill in the sections within the pro forma 

document. 


If you miss one of these steps the supplier will not pay commission, the invoice request allows inteletravel to claim the commission from the hotel/company and match it to your commissions report and pay you.

PLEASE NEVER CONTACT A HOTEL OR SUPPLIER WITHOUT FIRST DOING YOUR  BASIC TRAINING THIS PUTS ANY RELATIONSHIPS AT RISK FOR OTHER AGENTS IF YOU DO.

Contacting a hotel requesting an Upgrade

Contacting a Hotel requesting an upgrade: This is not uncommon practice within the industry and I email a week prior to every stay. You can also send the same email if you have made a reservation on behalf of someone else.

Hello The Biltmore, ( insert hotel or reservations) 


How are you ? 


My name is xxx and I’m an independent travel agent with Inteletravel Limited My IATA number is 10548020. 


I have made a reservation for personal agent travel for 2 guests Mr. xxxx and Mrs. xxxxx . The dates of stay is from xxx to xxx. I am just wondering and of course if you have the availability, would you please consider us for a complimentary upgrade, of course in return I’m happy to to do an onsite inspection and recommend the hotel to my customers. 


I am really looking forward to our stay in the hotel and I will be sharing it on my social media and would love to leave a positive TripAdvisor review after my stay .
